Menu > Locating > Document Versions

The Document Version screen displays only documents that have two or more versions. Versioning happens if a document is checked-out, then checked back in, or is annotated in any way using the PDF mark-up tools within PinPoint.

Under the “Show Versions”column, the first blue icon will bring up a window that shows the user how many versions there are for the document, as well as which one is the current version users see when the document is opened in PinPoint. Simply click on the folder icon next to any version number to make it the current version. This window will also show the user who created the version, and when.

The second blue icon under the “Show Versions” column will bring up a thumbnail view of all the different versions for the document. From this window, users can use a RedLine tool to have the system compare/contrast any two versions.

RedLining

Menu > Locating > Document Version

  1. Use any of the search filters above the document grid to locate the specific document you are looking for.
  2. Scroll to the far right under “Show Versions”, then click the second blue icon.
  3. Select the two versions you would like to RedLine, then click “Send a request to compare any two version”.
  4. Choose your Page Range. If you choose “Selected Pages”, add the page, or pages you want to compare for both versions.
  5. Under Action, choose whether you want the results emailed to you (Email), saved as a new document in the system (Save), or both Email and Save. If you choose either option to Save, select which cabinet, folder, sub-divider, document type and type you want the results document to come in as, then give it a name.
  6. Click “Submit” when finished.
